SKED 3.1: FAQ

How do I reset my Cycle Schedule Quarter After overhaul to the 1st quarter?
This step-by step procedure will help you reset your cycle schedule to the 1st Quarter After Overhaul. As a Workcenter Supervisor you will need to review and reset the Starting Period for all checks that are Semi-Annual and greater.

  1. Ships 3M Coordinator enables the display of Quarter Dates for all Checks in SKED Assistant.
    1. Open a Workcenter, from the menu bar select Admin>SKED Assistant>Modify Global Rules and Defaults.
    2. Select the Cycle Schedule tab, and click “Display quarter numbers with all checks” and place a check mark in the box.
    3. Click OK, and have all Workcenter Supervisors reset their Workcenter Options.
  2. Workcenter Supervisors reset your Workcenter Options to the modified Global Rules and Defaults.
    1. Open the Workcenter and select from the menu bar File> Workcenter Options.
    2. Select the General tab, click Defaults.
  3. Install the Force Revision, close out the current quarter, and make an External Backup of the Workcenter.
  4. Archive the current Quarter, making note of the Quarter Number being archived. This number will be used in calculations to determine the Starting Period of Semi-Annual and greater periodicities.
    1. Generate the next Quarter until the Current Quarter is archived.
  5. Workcenter Supervisors run SKED Doctor, allowing it to correct any errors found. SKED Doctor will need to be run multiple times, until all errors have been corrected.
  6. Print the Cycle, Quarterly, and Weekly schedules for use during the remaining steps.
  7. Department Heads reset the Cycle after overhaul to Quarter 1 for each Workcenter under your control.
    1. Open the Workcenter, select from the menu bar Schedules> Restart Cycle.
    2. In the Restart Cycle dialog box place a 1 in the Starting quarter box and adjust the Month and Year to the correct starting Month.
    3. Click Restart My Cycle.
    4. Select Yes to the acknowledgement of lost information.
    5. Select Yes to Backup the Workcenter.
    6. Select a Slot, and Yes to overwrite any information.
    7. Select Ok to the warning message.
    8. On the Data Entry dialog box, click Exit.
    9. Save and close the Workcenter.
  8. Workcenter Supervisors review the Workcenter schedule following the NAVSEAINST 4790.8A and applicable TYCOM instructions, review all MRCs for applicability, and reset all Starting Periods.
    1. To determine the Starting Period for Semi-Annual and greater checks;
      1. Subtract the Quarter After Overhaul number of the Quarter just archived from the next applicable Quarter listed next to the same MIP and check on the printed cycle board.
        Examples:
        • S-1 on the old cycle schedule shows S-1(1, 5, 9, 1 3, 17, 21). The quarter just archived was Quarter 20. The next applicable quarter is 21 subtract 20, the new Start Period is 1.
        • A-1 on the old cycle schedule shows A-1 (2, 6, 10, 14, 18, 22). The quarter just archived was quarter 20. The next applicable quarter is 22 subtract 20, the new Start Period is 2.
        • For Multi Month checks greater than 4M, find the instance with the next applicable quarter greater than the one just archived. Subtract the archived quarter number from the next applicable quarter.
        • For Multi Month checks that were not scheduled or completed during the last PMS Cycle, refer to NAVSEAINST 4790.8A paragraph 1-5.12.1 and applicable TYCOM instructions to determine the new Start Period.
  9. Department Heads Finalize the Cycle Schedule.
  10. Workcenter Supervisors review and adjust checks as necessary on the Workcenter Quarterly board.
  11. Division Officers Finalize the Quarterly Schedule.
When I opened my workcenter today, I received a “Revision Notification” message. What caused this to appear and what does it mean?
Revision Notification Screen appears when the 3MC has updated the PMS Cards from the Navy PMS CD. This screen gives you a snapshot of what has changed for your workcenter with this Force Revision.
I have customized the List View in the past, but it seems to reset itself every time I restart the application. Is there any way to save these settings?
No. If more than one person accesses the workcenter, this filter gets reset each time they log out.
Can I customize the new List View to show only checks assigned to a certain crew member?
Yes. To do this, follow these procedures:

  1. On the View menu, click List View Filters.
  2. Select Show Only My Checks. While in the program looking at your boards select View from the tool bar and go to List View Filters and select Show Only My Checks.
Can I customize the new List View to show only one week at a time?
Yes. To do this, follow these steps:

  1. On the View menu, click List View Filters.
  2. Select Show Checks by Week.
In several places in the program, I see that the “man hours” block has multiples in some cases. (e.g. – “1.4 x 3”) What does this mean?
This information is calculated by SKED based on the man hours for the MRC multiplied by the pieces of equipment assigned on the EGL for that card.
The print on some of my schedules is too small to read. Is there any way to zoom in to read those blocks?
No. You must increase the size of your blocks. While the workcenter is open, on the File menu, click Workcenter Options. Click the Display tab and increase the row height to accommodate the number of checks.
When I left the ship yesterday, I had a workcenter still opened in SKED. Now when I try to save my work, I get a message indicating that I do not have permission to save the workcenter. Is my work lost?
Unfortunately, yes. When a workcenter is inactive for a prolonged amount of time, the workcenter becomes available for other users to access. This is a safety feature to keep a given workcenter from being locked out of the system for an indefinite amount of time (In this example, once you have gone home). If no one else has accessed the workcenter since you opened it, you will still be able to save your work. But since you were not able to save it, another user had accessed the workcenter in your absence.
I have multiple situational checks on my quarterly board, but not all of them are being calculated in the RAR report. How do I fix this?
The 3MC can fix this by following these procedures:

  1. On the Admin menu, point to SKED Assistant and click Modify Global Rules and Defaults.
  2. Click on the RAR Report tab.
  3. Change the number of days in the Exclude identical situational checks section to "0."

You will now receive credit for all situational checks.
How are the Equipment-based RAR numbers calculated?
Equipment based RAR is calculated based upon the number of pieces of equipment associated to first, the component row and then the MRC. You must have built an EGL and associated the equipment to the MRCs for the Equipment based RAR to be calculated. For example, if there is a component row (QAWT Doors) with 10 doors (equipment) associated to it; you must still build an EGL to associate the equipment to the individual MRCs. In Server Mode this is accomplished by adding the EGL number to the last step of the Associate Equipment Wizard. While in Network and Desktop Modes it is accomplished during the EGL Wizard.
The 13-week report is not showing the correct checks. Is there a fix for this problem?
Yes. This was an issue with the initial release of SKED 3.1. It was fixed in the SKED 3.1.2 release of the application.
Can I view a MIP or MRC that is not on my schedules?
Yes. To view a MIP or MRC, log into SKED 3.1 and open your workcenter. Click on the PMS Browser button in the lower left hand corner. To view a MIP or MRC not in your workcenter, select the Navigate drop-down menu and click PMS Card Search. You can search the MIP Nomenclature or number or the MRC Nomenclature or number then click Search Now. All records meeting the selected criteria will appear. Highlight the desired MIP or MRC and click View Selection.
Why is the PMS Browser button on the bottom of the screen grayed-out and not enabled for me to push?
PMS Browser is only enabled when the PMS CD has been loaded into SKED 3.1. Contact your 3MC.
Can I make changes or line-outs to the MRC procedures in the PMS Browser to match what I would do with the paper copies?
No. This feature is not yet part of SKED 3.1. Look for this in future releases of SKED.
The icons on the PMS Browser tree are showing green, yellow, and/or red icons. What does this mean?
This means that the centralized PMS Data that is loaded into SKED has additions, changes, and/or deletes when compared to what you have on your schedules. This is normally caused by the new Navy PMS CD being loaded and you are getting ready to perform the next Force Revision (FR). If your workcenter is up-to-date, you should see only blue and gray icons.
I want to backup the Ships SKED 3.1 Network mode database. What files do I add to the NTCSS daily/nightly backup plan?
The folder/files that need to be backed up nightly/daily are located in the SKED 3.1 directory. These need to be saved to a location other than the server that is hosting SKED 3.1. They are: WORKCENTERS folder Sked3db.dat file Sked31crewlist.dat file By backing up the above files, you will have everything you need to restore the SKED database in the event of a casualty to the server where the program is installed.
How do I perform an external backup of my workcenter to a CD?
You must first copy it to a folder on either your computer or a drive that you can access. After that is accomplished, then you can burn it to CD from that location.
How do I update the underway dates for my workcenter?
Only the 3MC can update underway markings. The 3MC must be logged in. To update your underway markings, follows these steps:

  1. On the Admin menu, point to Update Data and click Update Underway Markings.
  2. Click New Quarter. The Enter Quarter Number dialog box appears.
  3. Enter the quarter number in the edit box.
  4. Click OK.
  5. Repeat steps 2-4 to add 2 more quarters.
  6. In the Start Date edit box, enter the start date for the quarter selected.
  7. In the Number of Weeks edit box, enter the number of weeks that are in the selected quarter.
  8. On the schedule box at the bottom, click the weeks or days that your ship will be underway. Black lines will appear when you click.

NOTE: You can click-and-drag to span multiple days or weeks. If you need to remove an underway marking, right-click the marking. It will disappear.
Why are R checks appearing on my quarterly board all by themselves?
If you have weekly or daily checks that have mandatory related R checks associated to them, the R check will appear on the Quarterly boards by itself. This is normal. It is due to the fact that weekly and daily checks are not normally displayed on the quarterly boards. If you right-click the R check and select View Check Properties, you will see that it is related to either a weekly or a daily check.
The font displaying my checks is too small to view. How can I change the font so I can read my boards?
Do not change the font. Expand the width of the lines by clicking Workcenter Options under the File menu. In the Workcenter Options dialog box, select the Display tab. In the row height block increase the height until all MRCs are viewable.
How do I transfer my FBR data from SKED 2.1 to 3.1?
  1. On the Tools menu, click FBR Manager.
  2. Click Ship Information on the toolbar. The FBR Ship Information appears.
  3. Click Import Sked 2.1 eFBRs. The Import 2.x EFBRs dialog box appears.
  4. Click Browse. Find the EFBR source file you wish to import.

  5. NOTE: Typically the "fbrdata.dat file is located in the Sked 2 directory.

  6. Select your Import parameters.
  7. Click OK.
Is there any way to generate feedback reports from my PMS schedules?
Yes, there are a couple of ways:

  1. Right-click an MRC while viewing any Board other than the Cycle and select Create Feedback Report.
  2. Follow the Feedback Wizard (this is the preferred method as it will fill in about 75% of the information for you).
  3. On the Tools menu, click FBR Wizard. (This way of doing a Feedback will require you to fill in all the information yourself).
Is there a way in the FBR Manager to set the next serial number to be what I have in my paper log?
Yes. The 3MC can update this by opening FBR Manager and clicking on the Reset Serial Number button on the Toolbar.
We have several crew members listed that are no longer at this command. How do I remove them from the system?
The Workcenter Supervisor must first remove the crew member from the weekly schedule and then disable their account. Once all the quarters that the member was listed on have been archived off, the 3MC must be notified. Only the 3MC/Admin User can delete the user from SKED.
